Front Desk Receptionist (Administrative)

Volunteer contributions are the backbone of the MFRC. Volunteer Receptionists offer front desk assistance in the event that the staff member is absent from her duties. Consistency on the front desk ensures that new and existing families receive a friendly welcome to the centre and current program information.

Time commitment will be identified at the time of request.

Responsibilities and Duties:

  • To greet community members as they use the MFRC.
  • To take phone messages in an efficient and polite manner.
  • To maintain a positive, pleasant and energetic attitude when dealing with all members of the community.
  • To have a general knowledge of current MFRC programs and activities, in order to best answer general inquiries, and direct community members to the relevant coordinator.
  • Uphold the Privacy Policy of the Centre and keep all information confidential.
  • To promote the MFRC philosophy and programs in the community.

Skills:

  • Respect cultural differences and act appropriately.
  • Maintain open and honest communication with MFRC staff.
  • Uphold confidentiality as per the MFRC Privacy Policy.

Orientation and Training:

Volunteer is not a job title; it’s a rate of pay. As such, all volunteers are entitled to the same standard of orientation and training made available to paid staff. During the initial meeting, the Volunteer Leadership Program Coordinator (or representative) will provide a brief history of the MFRC, as well as a Volunteer Manual for the individual to review. Volunteers will be introduced to MFRC core staff, as well as program delivery staff. Every effort will be made to ensure the volunteer has all the current program information required, enabling them to feel confident and at ease prior to their initial (or new) placement. Volunteers will receive on-the-job training, facilitated by trained and experienced program staff. Any additional staff training or incentives offered through the centre will be made available to the program volunteers. Training specifics (including date, place, cost and registration methods) will be documented and distributed in a timely manner.

Supervision:

Receptionist (Administrative) Volunteers are accountable to the Personal Development Coordinator. The following information includes the names, positions and contact numbers of MFRC staff whom the volunteer can contact for guidance and advice.

Reimbursement:

As a rule, volunteers do not make any purchases on behalf of the MFRC. In the event that a volunteer wishes to purchase an item for an MFRC program, the individual must seek approval from the Ex. Director (or representative) prior to any purchase. Receipts are required for reimbursement. The financial department will process the reimbursement paperwork within 14 working days; volunteers will be notified when their cheque is ready for collection.

Additional Information:

Volunteers are not responsible for any financial transactions. Volunteers will not be left alone in the centre. Careful attention should be paid to personal safety. If a situation arises, whereby a volunteer feels uncomfortable in assuming their responsibilities, they are asked to remove themselves from the situation as quickly as possible and report the incident to the Program Staff and Volunteer Leadership Program Coordinator (or representative).

Child Services Assistant

Volunteer contributions are the backbone of the MFRC. Child Development Volunteers enable the MFRC to offer affordable and accessible Child Services and Programming. Consistent services promote the health and well-being of our community and create confident, self-sufficient and resilient families.

Time commitment will be identified at the time of request, and will depend upon the scheduled activity.

Responsibilities and Duties:

  • To interact with both the children and the MFRC program staff.
  • To provide quality care to Child Services participants, in accordance with the guidelines of the MFRC and the regulations of the Province of Alberta.
  • To assist with age-appropriate activities that will enhance a child’s emotional, social, cognitive and physical development under the leadership and guidance of the MFRC program staff.
  • To maintain responsible levels of hygiene and equipment cleanliness at all times.
  • To promote the MFRC philosophy and programs in the community.

Skills:

  • Ability to build trusting relationships and relate to the needs of today’s children.
  • Respect cultural differences and act appropriately as a role model.
  • Maintain open and honest communication with MFRC staff.
  • Uphold confidentiality as per the MFRC Privacy Policy.

Board of Director’s

Term:
Board members are elected by the membership at the Annual General Meeting. Board Members serve for three-year term. Board members are released at the end of an elected term, by resigning or according to the MFRC Bylaws.

General Duties:
A Board Member is fully informed on organizational matters, and participates in the Board’s deliberation and decision in matters of policy, human resources, planning, finances, community relations and organizational operations.

The Board Member will:

  • Approve, where appropriate, policy and other recommendations received from the Board, its standing committees and senior staff.
  • Monitor all Board policies.
  • Review the bylaws and policy manual and recommend bylaw changes to the membership.
  • Review the Board’s structure, approve changes, and prepare necessary bylaw amendments.
  • Participate in the development of the MFRC’s organizational plan and annual review.
  • Approve the MFRC budget.
  • Approve the hiring and release of the Executive Director, including the Executive Director’s employment contract.
  • Support and participate in the evaluation of the Executive Director.
  • Support and participate in fundraising activities.
  • Assist in the development and maintenance of positive relations among the Board, committees, staff members and community to enhance the MFRC mission.
  • Represent the MFRC in the community in a professional manner.

Evaluation
A Board Member’s performance is evaluated annually based on the performance of Board assigned requirements and duties.

The Role of The Board and Board Members. A Board has many responsibilities, which cover six major functional areas:

  • Policy
  • Finance
  • Human resources
  • Community relations
  • Planning
  • Organizational operations

More specifically, board members are:

  • To act as trustees of the agency on behalf of its donors and or funding sources;
  • To determine goals and objectives;
  • To establish policies, other general guidelines and limits for agency operations;
  • To be legally accountable for all aspects of agency operations;
  • To authorize programs sponsored by the agency;
  • To evaluate the results of the agency’s operation.

Individual Board Members have specific responsibilities:

  • To become aware of the issues under consideration;
  • To decide if committee reports and recommendations are in line with the mission and objectives of the organization and in its best interests;
  • To keep all functions of the agency in mind and to recommend reviews or evaluation wherever opportunities or problems exist;
  • To provide advice and counsel on all problems or involvement.

The members of the Board also have legal and financial responsibilities.

Youth Services Assistant

Fundraising Assistants

Volunteer contributions are the backbone of the MFRC. Volunteer Fundraising Assistants help raise required funds to enhance the delivery of MFRC programs and services.

Time commitment will be identified at the time of request, and will depend upon the scheduled activity.

Responsibilities and Duties:

  • To make an initial visit to the new community member within a few days of their arrival, present them with a Coffee/Tea package and offer to answer any questions. The Volunteer Leadership Program Coordinator will inform of new arrivals.
  • To deliver newsletters, brochures or flyers on behalf of the MFRC to every house on the assigned street.
  • To encourage new community members to attend the Meet and Greet, and, if possible, accompany them to the meeting.
  • To promote a pleasant, positive and energetic attitude in dealing with all community members.
  • Promote the MFRC philosophy and programs within the community.

Media Promotions Assistant

Volunteer contributions are the backbone of the MFRC. Volunteer Media Promotions Assistant will advertise and highlight current MFRC services.

Time commitment will be identified at the time of request.

Responsibilities and Duties:

  • To discuss and promote MFRC programs, activities, services and events on the local radio.
  • To promote the MFRC philosophy and programs in the community.
  • To ensure that the information being shared is current, correct and detailed.

Skills:

  • Ability to talk live (on-air) to a radio DJ, or willingness to be taped for broadcast release at a later date.
  • Respect cultural differences.
  • Maintain open and honest communication with MFRC staff.
  • Uphold confidentiality as per the MFRC Privacy Policy.

Graphic Designer

Volunteer contributions are the backbone of the MFRC. Volunteer Graphic Designers will produce material to promote and highlight current MFRC services.

Time commitment will be identified at the time of request.

Responsibilities and Duties:

  • To create, (in partnership with Core Staff), striking, unique and informative artwork to be distributed externally.
  • To promote the MFRC philosophy and programs in the community.

Skills:

  • Ability to use software packages available in the centre, or willing to work from home computer.
  • Respect cultural differences.
  • Maintain open and honest communication with MFRC staff.
  • Uphold confidentiality as per the MFRC Privacy Policy.
